WWU recently redesigned and implemented a new online system for processing institutional scholarship and waivers. This process uses current Banner functionality (including Web4) and an additional Oracle form and two new tables to move scholarships from the application process through awarding, disbursement and through the donor cultivation process. The system uses tables from Banner Advancement to set up scholarships as designations, track department and donor contacts and flag need based scholarships; Banner Financial Aid to record funds, scholarships and disbursements; Banner Student for majors and GPAs; Banner General to retrieve biographical information and Banner Finance to track scholarship fund accounting. A cross-campus team including IT, Advancement, Financial Aid, Registrar, Admissions and several key academic departments worked to analyze, design, program, test and implement the system that allows everyone involved in the process the ability to track the awarding of scholarships through the different offices. The end results are not only improved efficiency and ease of use for users, but more timely processing of awards for students. The interdepartmental team was given the WWU University Team Award for 2011 for this scholarship processing project.
