We have created a menu in Banner Finance where we can manage the contracts in our institutions. Our university system consists of 3 universities, 13 off campuses, 1 educational PBS affiliate TV Channel and 3 campuses in Florida, for a total of 45,000 students. There are several forms that we have created and are used to identify the types of contracts (expense or income) active in SUAGM. When the contract represents expenses, an encumbrance should be created to reserve the funds. All contracts are identify on the system with a category and sub-category in order to classify them by contract type. Also, the system provides for amendments to existing contracts to be managed. Actually we manage during fiscal year 2010-2011 a total of 60 income contracts with a value of $8.7 million and 2,168 expense contracts for a value of $41.7 million. This new process of managing the contracts has helped SUAGM to establish a better control of our contracts and also have a clear picture of the amount of contracts managed including the total monetary value in a giving fiscal year.
